I will try to start the discussion with some thoughts. Sorry in advance for the long post, I thought it might be better for me to put all I have thought about here. ☺️
So, I was looking at the different guidelines and types of sessions. The maximum number of organisers of each session should be 5, so, if each of us would like to organize the session, we could try to propose minimum 3 different sessions. Otherwise, if people would like to attend but not organize it, if the session is accepted, then they can send abstract to the organizers of the session they are interested in.
Moreover, I think it's important to discuss if we want to propose a 'regular' session , a workshop or a round table. These last two could be also good options if we all want to discuss together in one session. I think that both the workshop format and the regular format could be opportunities to listen to and open conversations with people coming from a more archaeological background.
Of course all of this comes after having decided on which topics/topic we want to focus the session/sessions!
By the way, organisers of sessions can also present in the same session!
I never attended EAA before, so I’m not super familiar with the format of this conference, but I’d be happy to participate in the organization of a session 🙂
I only attending the regular session format at EAA so not sure how the other formats would feel like or be organised
That sounds great! I’ve attended both sessions and a workshop but never organized one, so I asked an 'EAA expert' friend and colleague for some suggestions. I am meeting with her soon and then I can share some things here so with whomever is interested we can start thinking about ideas!
I went to three EAAs so I guess I should soon consider joining a session organisation as well 😁. Can you ask how much work this involves? If it's not too too much I think you can count me in 😊
I have co-organized two regular sessions in the past (2016 and 2018), I’m happy to help as well. It’s a great opportunity for PhD students/early postdocs to gather first experience with organizing scientific events. It’s not so much work, you need to submit a session proposal and once it’s approved you are responsible to get submissions for the session, evaluate the abstract and put together the final programme.
Sounds good, I'm in then 😊
Same I am also happy to be in the organisation team 🙂
but yeah I am not familiar with eea either
I have actually some friends in zooarcheology who organized a session this year, i can ask them

I'm not familiar with eea either but if I can be of help I would be glad to support the organisation
Thanks Andrea!! I wanted to start drafting something in these days so we can put our ideas on :)
should we set up a meeting to just outline what are the needed steps and topics we want to propose?
I think it would be great! I can make a poll, I would say better to do it in the next week or the one afterwards, not to go too late, otherwise we could not have time to write a good proposal!
I have the ancient environmental DNA course in Copenhagen from 1st to 8th of October so 10th or potentially 9th is better. However I will do my best to attend if you plan another time 😊
Hi everyone!! Do we want to confirm the 10th or is there another day afterwards that would suit you guys better ? 🙂
The week after (week 42) is free on my side. This week is quite complicated but I'll try to join
For me personally is the same, but I'll do another poll so we are all on the same page 🙂
I won’t be there from the 16th of October so for me any date before that. will work
Okay. I would say for now let's block wither the 13th or the 17th. If someone in these days change their mind/ wants to add themselves, we will choose one or the two (otherwise I guess we will do a random extraction between the two days). In the meantime, I have created this folder, in which I put some guidelines, deadlines and info
Now it is pinned and also I added it to the canvas
@Biancamaria Bonucci @Aleksandra Laura Pach @Maxime Borry @Maria Lopopolo let's to the 13th then! I realise I will be back from the work retreat on time to join that day. So 13th of October (this Friday) , 5pm CET it is 😊
Perfect!! I will send you guys a zoom invitation link then 🙂

I can do from 2pm on 😊

Yes! I'll be there in my best capacity 😁
I have also posted in the drive the last EAA abstract book, if you guys want to have a look at the session abstracts🙂
Hey @channel, I’m alone on the zoom link that @Biancamaria Bonucci posted above 😞
*Thread Reply:* I saw this too late, but if you want to organize a sedaDNA session @Kadir Toykan Özdoğan I would be interested! We can also ask in the seda channel and see if anyone else would like to join
Note: • You can add more topic-focused subjects to the polly (it’s possible!) • The poll deadline is next Friday to leave enough time for session application.
Although it is not exactly my field, but maybe we can propose also something about other paleomolecules/compounds? lipids, proteins, metabolites?
As we were too many organisers in the general metagenomics session, I could also relocate to the ancient pathogens session
I am also happy to help Zoe on pathogens if more ppl are interested in metagenomics
@Johanna Muurinen has joined the channel
The organisers of last year pathogen session will help Louis and me with the coming EAA pathogen session 😊. So we are 4 people now
Hi @channel!! What do you think of meeting next week to finalize our proposal/proposals? We could do a joint meeting that then divides or separate meetings! Let me know what are your feelings on this!
It's ok for me. I am mostly available in the late afternoon but if you can at other times let me know and I will try to be present as well
So we are proposing the metagenomics and Zoe et al and Kadir et al are proposing pathogens and sedaDNA?
ps I am also available at pm times 😉 our internal deadline was the 3rd of November to have a draft right? So maybe we can try to contribute to the draft until then. Have a meeting to finalise it and submit?
What do you think to plan a zoom before the deadline?
I wanted to do create a polly but with scarse success 🙂 So I propose here some slot: Tomorrow (1st) at 6p.m. 2nd 11 am / 4pm / 6 pm What do you think about?
Me I am in for the 2nd at any of those times 🙂
I can do any besides the 11am on the 2nd 🙂
I am out of office now, so I can create the link for the zoom meet tomorrow around 10h30. Unless someone want to do it today and put the link here for everyone😊😊

Thank you Biancamaria for the link
Hi guys sorry for some reason I didn't receive slack notifications till now.... I can't make it today in the morning but I could in the afternoon.
@Maxime Borry @Aleksandra Laura Pach @Biancamaria Bonucci Are you available also in the afternoon today?
Yes in my case! Maria said to me she can after 3.30 (UK) so 4.30 CET. For me sounds okay, otherwise I can meet with her afterwards 🙂
for me this schedule is fine too, lets see what the other think about or otherwise we can do a second meet in the afternnon with Maria
So, do we agree in meeting at 3.30 UK/4.30 CET/5.30 Tartu time? ☺️
Thank you so much! Sorry for the change of schedule :)
lol
So yes, this is what appears if we select 'other'
Ok so in the actions by Monday we can also write what we intend for the session format in our document

Just to double check: is it 10PM or 10AM?
Okii
I’m traveling today, so I’m not sure how much I can attend. But I’ll try!
they extended the deadline
Hey guys, ☀️ Quick question. I'm co-organizing the next SPAAM conference and we thought about putting it right before EAA. We are unsure whether to do it on the 27th or the 28th. The EAA starts the 28th right? But I've heard that most people will first arrive the 29th because the 28th is only in the evening - although to make sure I will not double book myself - do you have some input towards this decision?
*Thread Reply:* hey Aleks, How will people attend spaam on the 27th if they are arriving on the 29th for EAA mostly as you say? This granted your intention was to overlap it with the people attending EAA so that they could attend both. I think I will personally arrive in Rome on either the 27th or the 28th. Sorry, maybe I did not understand the question.
*Thread Reply:* No that was the exact question. When will you think people will arrive. I have very little experience with this so it would be super sweet to get some input:)
*Thread Reply:* hmm I think it’s hard to tell bc people might need different times to travel depending from where they travel from. I think most of the people would arrive either the night before the conference starts or as you say on the morning of the 28th. I think this may be a question to do to the whole community when abstract submission is over perhaps, with a poll?
*Thread Reply:* Hey! So indeed, the conference sessions actually take place on the 29th of August. On the 28th, there is an Opening ceremony and a welcome reception on the evening but people are free to attend and generally go to the welcome reception but not always to the ceremony. I would imagine that you can have a SPAAM6 on the 28th day as other EAA communities do. I was personally thinking to arrive on the 27th, to have time to settle and then go to the Reception on the 28th evening.
*Thread Reply:* That sounds reasonable yes.
